Your privacy is respected and protected at Elaine Wilson Therapies. Any private and sensitive information collected will be kept strictly confidential and will not be sold. Private and/or sensitive information will not be disclosed to any third party without clients’ consent.
Clients’ information will be collected on consultation forms and online booking forms through the “Timely” booking system. Volunteering this data means agreement to the use of the data as follows:
Clients’ personal identifying information, such as names, addresses, email addresses and phone numbers, are collected in order to contact and provide services to clients. Clients may be contacted by email and/or text message to remind them of appointments, make changes to appointments, answer queries about appointments and/or personal information regarding treatments, and to offer an alternative means of booking and contacting the therapists.
Clients’ health information is collected and stored in the form of health history forms and treatment notes to assist with providing safe and effective services.
If a client changes therapist within the same establishment, we may retain clients’ information, and provide it to those therapists if required.
Our privacy policy complies with the new GDPR legislation that begins on 25th May 2018. Our aim is to give you peace of mind and confidence knowing that we will manage your data correctly and explain clearly and in detail how and why we use and collect your data, and your rights.

What information do we need prior to treatment
We need you contact details which include name, address, postcode, email and phone number, we also need your information about your health, lifestyle and age for treatment to go ahead.
Explanation of why we need this information
We need all the information to provide a safe and suitable treatment, and to allow us to make tailor made treatment plans.
To comply with professional code of conduct and ethics set out by The Complementary Therapists Association (CThA) and also for insurance purposes.
We have a lawful basis for processing your personal information, meaning there is a legal reason to ask for your data because of contractual reasons.
You do have the right to not share your personal data with us, but if you do not we are unable to offer you a treatment at Elaine Wilson Therapies.
You must fulfil your side of the contract (share your personal information) in order for us to fulfil ours (carry out treatment).
How long will we store your data
We must retain records for a period of at least 7 years from the date of your last treatment. In a minors case this would be 7 years after their 18th birthday.
We will not share your data

Clients’ health information (health history forms and treatment notes) are stored in a filing cabinet at Serenity Massage & Holistic Centre and in a locked filing cabinet at the business address of Elaine Wilson Therapies.
All client’s personal data will be kept on file for a period of 7 years and complies with the laws of the freedom of information act and data protection act 1998. Clients can ask for access at "reasonable intervals", and Elaine Wilson Therapies will generally respond within one month.
Consent to the use of phone numbers or email addresses for the use of promotional material will be an active, affirmative action by the client, rather than the passive acceptance under some current models that allow for pre-ticked boxes or opt-outs.
Elaine Wilson Therapies will keep a record of how and when an individual gave consent on the client consultation form, and the client may withdraw their consent whenever they want.
Clients’ “Right to be Forgotten”:
Clients have the right to demand that their data is deleted if it's no longer necessary to the purpose for which it was collected. This is known as the 'right to be forgotten'. Elaine Wilson Therapies will store people's information in commonly used formats (like CSV files), so that they can move clients’ data to another organisation (free of charge) if the client requests it. Elaine Wilson Therapies will do this within one month.

Returns Policy

Our policy lasts 30 days. If 30 days have gone by since your purchase, unfortunately we can’t offer you a refund or exchange.
To be eligible for a return, your item must be unused and in the same condition that you received it. It must also be in the original packaging.
Several types of goods are exempt from being returned: Reiki services, perishable goods such as food, flowers, newspapers or magazines cannot be returned. We also do not accept products that are intimate or sanitary goods, hazardous materials, or flammable liquids or gases.

To complete your return, we require a receipt or proof of purchase.
Please do not send your purchase back to the manufacturer.
There are certain situations where only partial refunds are granted: (if applicable)
* Book with obvious signs of use
* CD, DVD, VHS tape, software, video game, cassette tape, or vinyl record that has been opened.
* Any item not in its original condition, is damaged or missing parts for reasons not due to our error.
* Any item that is returned more than 30 days after delivery
Refunds (if applicable)
Once your return is received and inspected, we will send you an email to notify you that we have received your returned item. We will also notify you of the approval or rejection of your refund.
If you are approved, then your refund will be processed, and a credit will automatically be applied to your credit card or original method of payment, within a certain amount of days.
Late or missing refunds (if applicable)
If you haven’t received a refund yet, first check your bank account again.
Then contact your credit card company, it may take some time before your refund is officially posted.

Gifts
If the item was marked as a gift when purchased and shipped directly to you, you’ll receive a gift credit for the value of your return. Once the returned item is received, a gift certificate will be mailed to you.
If the item wasn’t marked as a gift when purchased, or the gift giver had the order shipped to themselves to give to you later, we will send a refund to the gift giver and he will find out about your return.

You will be responsible for paying for your own shipping costs for returning your item. Shipping costs are non-refundable. If you receive a refund, the cost of return shipping will be deducted from your refund.
Depending on where you live, the time it may take for your exchanged product to reach you, may vary.
If you are shipping an item over £50, you should consider using a trackable shipping service or purchasing shipping insurance. We don’t guarantee that we will receive your returned item.
